Our AI assistant. When you make an enquiry, our AI assistant may call you to understand what you are looking for and offer you a call with our team. These calls are recorded and transcribed. The assistant does not make decisions that have a legal or similarly significant effect on you. You can ask to speak to a person at any time.
5. Our Legal Reasons for Using Your Data
- Consent: for calls (including automated calls), texts and marketing emails, which you agree to when you submit an enquiry form. You can withdraw your consent at any time.
- Legitimate interests: to respond to your enquiry, keep records of our conversations, and measure and improve our advertising, in ways you would reasonably expect.
- Contract: to process a purchase or transaction you ask us to make.
- Legal obligation: where the law requires us to keep certain records.
6. Who We Share Your Data With
We only share your personal data with:
- The builders of the property you enquire about
- Our service providers, who process it on our behalf and only on our instructions:
- You&I Marketing Ltd, which provides our lead management system (“Ampersand”). This stores your enquiry and lets our team and our AI assistant contact you.
- The providers that system uses for hosting, phone calls, text messages, email and AI voice calls
- Microsoft, which provides our email and calendars
- Meta Platforms (Facebook and Instagram). To measure how well our adverts work, we send Meta limited information in a scrambled (hashed) form, such as your email address or phone number, and whether you booked a call or bought.
We do not sell or rent your information to anyone.
7. Where Your Data Is Stored
Your data is stored securely with our service providers. Our main lead database is hosted in the UK (London). Some of our providers, such as those for phone calls, text messages and AI voice calls, process data outside the UK, mainly in the United States. Where this happens, we rely on approved safeguards: the UK’s adequacy regulations, the UK–US data bridge, or the UK International Data Transfer Agreement or Addendum.
8. How Long We Keep Your Data
- Call recordings are deleted after 90 days.
- Texts and emails are kept for up to 2 years.
- Enquiries that don’t go ahead are anonymised after 2 years.
- Other personal data is kept for up to 5 years from your last contact with us, unless we are required by law to keep it longer.
